No-show follow-up for youth sports performance gyms

Plyo follows up on no-shows only for appointments it booked, only after staff or GoHighLevel supplies a no-show status and only within a limited policy the owner approves. Unknown attendance is never treated as a no-show. Follow-up respects contact windows and stops immediately for opt-outs.

Establish attendance before writing the next text

An unanswered reminder does not tell you whether an athlete attended. Neither does the end of the scheduled appointment time. A coach may still need to update the attendance record, or another staff member may have handled the visit. The first task in no-show follow-up is establishing what actually happened, before deciding what to say to the parent.

Plyo requires a staff or GoHighLevel no-show status before starting no-show follow-up. Unknown attendance is never treated as a missed visit. Make responsibility for attendance clear within your gym: decide who checks the visit and who records the status. That operating decision gives any later parent conversation a verified starting point.

Apply the eligibility checks in order

Plyo's no-show flow has a narrower scope than a general list of people who did not attend. It applies only to appointments Plyo booked and follows a limited policy the owner approves. Use the following checks when discussing a missed assessment with your team. Each check answers a different question about whether follow-up is appropriate.

  • Was this appointment booked by Plyo? Other booking sources are outside this follow-up scope.
  • Has staff or GoHighLevel established a no-show status? Unknown attendance is not sufficient.
  • Does the message fit the owner's approved timing, contact limit and stopping point?
  • Is contact permitted within the configured windows, with no opt-out? STOP and other opt-outs are honored immediately.

Choose a limited policy before a visit is missed

Decide the permitted timing, limits and stopping point for no-show follow-up during setup. Those decisions belong to the owner-approved policy. The purpose is to give a family a clear opportunity to discuss another visit without leaving staff to improvise repeated outreach. Your team should be able to explain when the follow-up ends.

Review the policy alongside contact windows and the route to a person. A parent may reply with a question for the gym instead of selecting another time. Decide who will receive that handoff. Long-term nurture, old-lead reactivation and multi-month offer campaigns are on Plyo's roadmap.

Use language that leaves room for the parent's explanation

In a fictional Northstar Performance scenario, staff have confirmed that Leo missed a Plyo-booked assessment. An illustrative follow-up could say, 'This is Northstar Performance's virtual assistant. Would you like to find another time for Leo's assessment?' It gives the parent a clear choice without inventing a reason for the missed visit or adding pressure about availability.

A short invitation to find another time gives the parent room to explain what they need. The approved offer and follow-up policy guide the conversation. If the parent asks a question, Plyo answers the actual question first and asks one useful question at a time, using athlete details already shared.

Verify the next booking instead of assuming a recovery

A parent saying 'maybe next week' has not booked another assessment. When the parent wants a time, Plyo reads live GoHighLevel availability, rechecks the chosen slot right before booking and says 'booked' only after the calendar returns an appointment record. Keep that distinction clear when reviewing what the follow-up accomplished.

If the selected slot has been taken, Plyo explains the conflict and offers the next open times. A calendar timeout never causes a second appointment. A confirmed new appointment can receive confirmations and reminders under the owner-approved schedule for Plyo-booked visits. That is a concrete next step; an unanswered follow-up is not evidence of a new commitment.

Review attendance handling as well as the message

When evaluating the flow, test an appointment with unknown attendance, a verified no-show and a parent who asks for a person. Check that unknown attendance does not trigger no-show treatment. For a human request, Plyo acknowledges it, privately alerts the escalation contact and waits for an explicit hand-back. Staff replies in GoHighLevel also make Plyo step back.

Use the mobile-friendly dashboard to review results, activity and items needing attention, then discuss any unclear attendance decisions with your team. The review should cover who established the status, what the approved policy allowed and whether the parent received a useful next step. Frequently asked questions

Does no reply to a reminder count as a no-show?

No. Silence is not an attendance status. Plyo needs a staff or GoHighLevel no-show status for an appointment it booked before following the owner's limited policy. Unknown attendance is never treated as a no-show.

Can Plyo follow up on an appointment our staff booked?

The supported no-show follow-up applies only to Plyo-booked appointments. A missed visit created through another booking process is outside that scope, even if the appointment is in your gym's GoHighLevel calendar.

How many follow-up messages will a parent receive?

The message limit follows the policy the owner approves. Review timing, limits and the stopping point during setup. Contact windows and immediate opt-out handling still apply throughout the follow-up.

Can a parent speak to staff instead of rebooking?

Yes. When a parent asks for a person, Plyo acknowledges the request, alerts your escalation contact by private text and waits for an explicit hand-back. The next step can be a staff conversation rather than another appointment.
