How to handle after-hours inquiries at a youth sports gym

Set explicit inquiry-handling hours, answer only from approved gym information and let parents book against real availability. When a question needs staff, name who will handle it and share their verified availability. Keep outgoing follow-ups inside the gym’s contact windows.

Separate inquiry coverage from training hours

A closed training floor does not have to mean an unanswered inquiry, but your team needs a shared definition of coverage. Decide when someone or an assistant handles new messages, when staff can resolve exceptions and when outgoing follow-ups are appropriate. Those may be different schedules. Write them down so a late message does not depend on whichever coach notices a notification.

Include weekends, closures and holidays in that plan. If no one will review an unusual request until the next staffed period, the reply should say that. State the hours your team can cover. Coverage should be clear enough that a staff member can take time away without checking every conversation.

  • Name the person responsible for reviewing unresolved inquiries when coverage resumes.
  • Keep the gym’s time zone and approved contact windows with the coverage schedule.
  • Update closure messages when the normal staff schedule changes.

Use an acknowledgment that does useful work

A generic “We’re closed” gives the parent little direction. If you can answer their actual question from approved information, do so. If you cannot, name the unresolved issue and the next step. A useful acknowledgment names who will review the question and when staff are available.

Northstar Performance is fictional; replace all bracketed details before using these samples. A virtual assistant’s first reply could be: “Hi, I’m Northstar Performance’s virtual assistant. Our assessment includes [approved scope]. Would you like to see available times?” For a question needing staff: “That needs our team’s review. Staff return [verified staffed period], and I’ll pass along your question.” Send the question to the designated contact as part of that reply.

Let the calendar set the booking boundary

Evening availability for texting does not mean evening availability for assessments. Use the actual assessment calendar, including coach coverage and closures. Check the calendar for each requested visit. If the parent proposes a time outside the available schedule, offer real alternatives or route the request for review.

Northstar Performance sample: “I can check [available day] for Maya’s assessment. Would that work for your family?” After the parent chooses a specific slot, recheck it and verify the appointment before confirming. If the calendar cannot confirm the result, explain that the booking is not yet confirmed. Check for an existing appointment before trying again so a technical interruption does not create a duplicate.

Build a useful morning handoff

Give the opening staff member a short list of conversations that need action, with an owner for each. Separate an unanswered question from a parent who simply has not replied. The first needs your team’s attention; the second may need no action yet. Include any appointment already made so staff do not invite the parent to book again.

A staff note for the fictional Northstar Performance might read: “Maya’s parent asked about [specific request]. Shared [approved information]. No appointment confirmed. Needs coach review of [open question]. Parent prefers a text reply.” Keep the note focused on what the next person must decide. That lets the coach continue the conversation without making the family repeat the entire inquiry.

Keep night coverage from becoming night-time chasing

Treat a parent’s incoming question and a later outbound follow-up as separate decisions under your contact policy. A late inquiry is not a standing invitation to send reminders or sales nudges at any hour. Schedule outgoing messages within the approved window and respect a parent’s request to continue at another time.

If the parent says they will check the family schedule, acknowledge that and leave room for a reply. A Northstar Performance staff response could be: “Of course. Send a day that works when you’re ready, and we can check availability then.” Check current availability when the family returns with a day that works.

Set up an assistant around the coverage plan

Plyo works the lead-handling hours the gym sets, including evenings and weekends, and respects contact windows. It requires GoHighLevel and uses the gym’s existing account and number for SMS. Its website chat collects the parent’s mobile number to book, with confirmations and reminders sent by text.

Approve the gym profile, coverage hours and escalation contact before relying on that workflow. When a parent asks for a person, Plyo says so, alerts the gym’s escalation contact by private text and waits for an explicit hand-back. Assign a staff member to review those alerts during the hours your team covers.

Frequently asked questions

Should coaches watch the inbox all evening?

Choose a coverage arrangement your team can sustain. Routine approved questions can follow a defined process, while exceptions wait for the designated staff member. If you offer evening human coverage, assign it explicitly so every coach does not feel responsible for every incoming message.

What if a parent wants to come in before staff return?

Book only if the visit is supported by verified calendar availability and the normal booking requirements are met. If the request needs a special exception or an unanswered eligibility decision, explain that staff review is needed before you can confirm the visit.

Can an automatic reply say a coach will respond tomorrow?

Only if that matches the actual staffing plan. Tomorrow may be a closure day. State the verified staffed period and assign the conversation to the person who will reply.

What should staff review when they return?

Start with requested human handoffs, unresolved booking results and questions that blocked a parent’s next step. Check the thread before replying so you account for overnight updates. Assign ownership before sending a message to avoid several people answering the same family.
