After-hours texting for youth sports performance gyms

Plyo answers new parent inquiries by text during the lead-handling hours your gym sets, including evenings and weekends. It uses your approved gym information and live GoHighLevel availability, then confirms an assessment only after the calendar returns an appointment record.

Choose the evenings your gym can support

After-hours coverage starts with a decision about when your gym wants to handle new inquiries. A parent may text after practice while your coaches are finishing sessions. Decide whether that period belongs in your lead-handling hours, and identify who can receive an escalation if the parent needs a person. Automated coverage and staff availability are separate planning decisions.

Plyo works the hours you set and respects contact windows. Your contact windows govern when messages can be sent. Review weekends as well as weekdays, and make sure staff understand the configured boundaries. A clear schedule gives your team a shared expectation for which conversations Plyo handles.

Prepare answers before the front desk closes

A useful evening reply needs the same reliable information as a daytime conversation. During a short setup conversation, you review and approve the gym profile that supplies Plyo's answers. Include your offer, price, eligibility, duration, location, preparation instructions, hours and follow-up policy. Check the details a parent needs before deciding whether an assessment fits.

Compare the offer on your website with the assessment your gym currently provides. Unverified website text does not become a Plyo answer. If your public pages and current offer disagree, resolve that difference during preparation. Your approved profile should describe the assessment you are actually ready to provide.

Answer the evening question before asking for a booking

Consider a fictional parent texting Northstar Performance after practice: 'Would an assessment work for Maya? She plays soccer.' The useful starting point is the parent's question about fit. Plyo introduces itself as Northstar Performance's virtual assistant in its first message and answers using the gym's approved eligibility information. If age is needed to apply that information, it asks for age next.

Once shared, the athlete's name, age and sport inform the conversation. The parent does not need a qualification checklist before receiving a useful answer. Asking one useful question at a time keeps the exchange focused, especially when the parent is also managing the trip home. The parent can ask about the visit before choosing a time.

Make the calendar confirmation the deciding event

An evening message saying 'that time works' is a request to book. It is not proof that the appointment exists. Plyo reads live availability from your GoHighLevel calendar and rechecks the chosen slot right before booking. It says 'booked' only when the calendar returns an appointment record, so the language follows the verified result.

If another booking takes the slot during the exchange, Plyo explains that and offers the next open times. A calendar timeout never causes a second appointment. The appointment record gives staff a confirmed visit to prepare for, including when a parent books the evening before.

Leave a clear path to a person

An evening assistant still needs a human handoff. When a parent asks for a person, Plyo acknowledges the request, alerts your escalation contact by private text and waits for an explicit hand-back. Choose that contact deliberately. Receiving an alert is different from promising the parent that a coach is available to answer at that moment.

Staff can also reply in GoHighLevel, at which point Plyo steps back from the conversation. Agree on how your team will finish the human exchange and return it to Plyo when appropriate. Owners and staff have private text threads for handoff alerts and hand-back commands, keeping that coordination separate from the parent's conversation.

Review the shift with practical questions

Use booking receipts and the mobile-friendly dashboard to review results, Plyo's activity and items needing attention. Look at whether answers matched your approved offer, whether appointments were confirmed and whether a person was requested. Check that each unresolved question has a staff owner and each confirmed visit appears in the calendar.

Before expanding coverage, walk through a late inquiry, a slot that becomes unavailable and a request for a coach. Text Plyo to see the parent conversation demonstrated by text and book a call with the Plyo team. Bring your intended hours and escalation plan so the discussion reflects how your gym operates.

Frequently asked questions

Does after-hours texting mean overnight messages?

No. Your gym sets lead-handling hours, and Plyo respects contact windows. You choose which evenings and weekends to cover. STOP and other opt-outs are honored immediately.

Do we need a separate texting number?

Plyo answers SMS inquiries through your gym's existing GoHighLevel account and number. GoHighLevel is required, and Plyo is installed as a GoHighLevel Marketplace app. The setup includes reviewing the gym information used in replies.

Can a parent move an appointment by text?

Yes. When rescheduling, Plyo protects the original appointment until the new time is confirmed. It does not treat a request for a different day as a completed change. Cancellations are confirmed only after a verified status.

Will an evening booking receive reminders?

Plyo sends confirmations and reminders for appointments it books, using a schedule the owner approves. Review that schedule alongside your contact windows so your booking coverage and reminder expectations are planned together.
